Those hand-carved reports tend to have many errors, because they require so much mind-numbing, unsystematic busy-work. Excel users often become so overwhelmed by the demands of hand-carved reporting that they have little time to create new reports that VIPs desperately need.
Back when my reports were all hand-carved, I remember hoping that my new reports would NOT become popular, because I didn't have the time to meet my current reporting requirements. Excel users with impressive degrees and fancy job titles often feel more like Excel clerks than business professionals. Hand-carved reports are the most-common type of Excel report, and the method that drives companies and employees most quickly into Excel Hell.
Macros are very powerful; they can automate nearly any task in Excel. But even so, using a macro-based reporting system is a bad idea, because…. So even when macros work as advertised, they seldom offer a general way to end Excel-Hell reporting and analysis.
Pivot Tables provide a great way to pull data from a relational database, and then summarize it. But unfortunately, Pivot Tables have two significant problems for general reporting and analysis.
First, Pivot Tables are difficult for most Excel users to learn. Specifically, Excel reports and analyses often must…. If your company relies mostly on BI reporting, rather than Excel, it has cut itself off from a critical strategic resource…. Losing this resource can create two significant problems for your company. Second, your company no longer has a good supply of future managers around who know your company intimately…sharp people with relevant degrees, who understand how your company really works and what your data actually means…people who can discover both the problems and the opportunities that your data can reveal.
I faced many problems like these when I worked in industry. Years ago, when Microsoft was ready to introduce Excel for the PC, a software magazine asked me to write their cover story about the new product. So I started to use Excel before it reached the market. First, I remembered the haggard faces of the overworked CEOs in my past. But because they had so little time, they often ignored my reports. So they never discovered critical information that was hiding in plain sight in those many pages of numbers.
The article, published in , described how a large company in Mexico had replaced many pages of standard reports with one printed page that displayed 18 small charts and two small tables. As I looked at Excel back then, I suddenly realized that it offered my first opportunity to replace many pages of mind-numbing reports with just a page or two of small charts and tables….
But finally, after more than ten years of work in my spare time, I created a simple system of worksheet formulas linked to data workbooks First, you set up a data workbook for each source of data your dashboards need. And you update those workbooks as new data becomes available. My ebook asks you to create two data workbooks, one for Targets and the other for Actuals.

Then you set up any number of dashboard report workbooks, with charts and small tables To update a dashboard report after your data workbooks are updated, you just change the report date in one cell, and then you recalculate Excel To change the data that any chart or table in a report displays, you just change the lookup code like a product code or a General Ledger account number that the figure relies on.
To create a completely new report, you typically start with a copy of a current report. Then you change the title of the report; you change the lookup codes for each figure; and you often change its color theme. If your data already is available, the whole process might take ten minutes.
After I finally worked out how to create practical Excel dashboard reports, I wrote the first edition of Dashboard Reporting with Excel. That ebook was wildly successful. At last count, Excel users in countries have purchased it.
